How to send alerts from SharePoint to Microsoft Teams

Webhooks allow apps to send notifications and information to other apps. Creating an incoming webhook gives you a unique URL when creating an alert, allowing the Virto Alerts & Reminder App to post messages into Microsoft Teams.

In the example below, we are working on a SharePoint list containing contracts to be signed and attached. We want to receive an alert whenever a team member creates a new entry.

When the list of alert subscriptions is too large to find a required item, you can filter alerts by column. In the following example, we filter by “Change type.”

You can search for alerts and reminders across your site collection in the “Browse tenant” menu.

Click the “Enable/Disable” button to turn alerts on or off.

The current alert or reminder status is displayed on the right side. If the status mark is highlighted in green, this alert/reminder is active. Inactive alerts and reminders are highlighted with a red background.

The Virto Alerts & Reminders App supports creating alerts and reminders to keep your team informed of all changes and upcoming events. Alerts are slightly different from reminders.

Alerts#

Alerts are email notifications that need a trigger to be sent. Since all alerts are related to a SharePoint list, the trigger may be one of the following:

Someone adds a new item to the list.
Someone modifies the existing item(s).
Someone deletes an item from the list.

You also have the option to send an alert for all the above changes.

Once you have added the Virto Alerts & Reminder App to your SharePoint site, you can adjust it and start working.

My alerts#

The “My alerts” tab contains the alerts you own. By default, if you create an alert, you become the owner and have permission to disable, edit, or delete this alert.

To disable an alert, untick the green checkbox. Disabled alerts are highlighted in pink.

The queue icon will take you to the “Queue” tab, where you can view when the chosen alert or reminder was or will be sent according to the schedule.

MS Service Health alerts

Virto Alerts introduces a new feature for M365 admins to subscribe to Microsoft Service Health alerts for services like Exchange Online, OneDrive, Power BI, and Dynamics 365.

Use “Manage notifications for selected services” to get emails on status changes or issue resolutions.

Already set up? You’re getting updates automatically.

Search by name/email in “Notification users,” then Save to subscribe or Unsubscribe.
